After the study of this chapter, students are expected to:

Know how to greet new colleagues in workplaces;

Know how to answer and make business phone calls;

Talk on the phone with potential international business people to establish business relations.

Section Ⅱ Background Information

There’s a chance you could be introduced to everyone from the president of the company to the water delivery staffer. While it’s key to be kind and gracious to everyone, you will want to have different messages prepared for different people. How you greet people should be related to both their position and to how you will interact with them on a regular basis. Co-workers are people who are basically on the same level as you. They are not subordinates, andnot superiors. These people should be met with an introduction, a description of what you’ll be doing and possibly some brief discussion about how your roles will intersect. If you’re unsure of how to address people, ask the person who hired you or the individual providing orientation. Some environments prefer a formal approach while others are more casual.

You may be introduced to departments rather than individuals, or you may be asked to stand and introduce yourself during a staff meeting. In this case, have a brief introduction prepared, and be ready to field a few questions about your background and what brought you to the company. Keep in mind, the most important part of greeting new colleagues is to be open, personable and professional.

Businesses communicate through various means, including e-mail or distributed memos, but when only a two-person conversation will do, you can’t beat the telephone. During a telephone call, both parties have the benefit of live interaction and can immediately exchange ideas. Since time is important in a small business, maximize each phone call for optimum effectiveness. Prepare yourself before you
